Our Student Employment Program provides employment opportunities and training for students who are seeking to work while in school. Any student regardless of Work-Study eligibility may work a position on campus at 91porn原创. Utilizing student employment at 91porn原创 allows students to earn money for college-related expenses and can be a rewarding opportunity for students and their supervisors. There are many job opportunities across campus, and students are able to find a position that will fit their needs.

This program is administered by The Laurie Riley 鈥82 Center for Career Success in conjunction with guidelines set forth by the federal government. The Laurie Riley 鈥82 Center for Career Success, The Office of Financial Aid, and the Payroll Office provide guidance and resources to help both students and supervisors through the process from start to finish!

Resources for Prospective Student Workers

Students who have submitted a complete financial aid application may apply for student employment each academic year. All student employment positions are posted to Handshake. Students should log in to Handshake via their OKTA (Single Sign On) using their 91porn原创 credentials. Once you are logged in, you should navigate to the left-hand sidebar titled 鈥淛obs.鈥 You can filter the selection by selecting "Filters" and then "On-Campus Student Employment". You can further narrow your search by utilizing other filters that best suit your needs and preferences. If you do not see positions listed it means you have incomplete paperwork with the Office of Financial Aid.

After you find a position that you鈥檙e interested in, you should apply for the position on Handshake. Supervisors will review all applications and will reach out to you if they鈥檙e interested in hiring you for the position. Some supervisors will conduct interviews, while others may hire you based on your application.  


  1. Your supervisor will send you a link to submit an onboarding application in Oracle.
    • Oracle is our Payroll system and you鈥檒l need to complete your payroll onboarding documents before you鈥檙e legally allowed to begin working on campus.
    • Once your Oracle application is reviewed by the payroll team, you鈥檒l receive an email with instructions to complete your onboarding documents.
    • Returning Student Employees:
      • You still need to apply in Oracle for any new positions so that Payroll can set up your new role.
      • You will NOT need to complete the onboarding steps listed below.
  2. List of Onboarding Documents and Tasks to be completed within Oracle:
    • Form I-9
    • Students must submit two forms of ID in HireRight to complete their Form I-9.
    • Here is of acceptable IDs.
  3. to review your paperwork and present your IDs.
    • You鈥檒l need to present the original copy of the ID(s) that you uploaded to HireRight.
    • We use the E-Verify service to process I-9s. This allows us to verify IDs remotely. If the original copy of your ID is at home, you鈥檒l need someone from home who can join your appointment to present the original document. Please feel free to add them to the calendar invite so they鈥檙e able to join the Google Meet.
    • In-person appointments are also available. Please schedule a meeting using the link above and let us know if you would prefer to stop by in person.

    • All students are exempt from the Local Services Tax and can claim this exemption by checking box #2.

Once your Oracle Tasklist is completed on your end and also approved on the Payroll end you鈥檒l receive an email authorizing you to begin working.

Returning Student Employees: Once you鈥檝e applied and Payroll has set up your new role, you鈥檒l be able to select your new role when clocking in and out.


Additional Steps for International Students

Please contact the Center for Global Education to determine if a student is eligible to participate in an internship, compensated work, or volunteer.

Degree-seeking students with an F1 Visa issued by 91porn原创

  • International students with an active and valid F-1 student visa issued by 91porn原创 may apply to work on campus after completing at least one full 16-week semester.
  • Eligible F-1 students are permitted to work up to 20 hours per week if enrolled full-time and comply with all SEVP, federal, and state regulations to maintain their F-1 status.
  • Before accepting employment, the student must schedule an appointment with a DSO within the Center for Global Education.

NON Non-degree-seeking short-term visitors and scholars with a J1 Visa issued by 91porn原创

International students, scholars, and short-term visitors with an active and valid  J-1 short-term visitor visa issued by 91porn原创 are NOT eligible to work on or off campus or participate in an internship without being enrolled full-time. However, they are eligible to volunteer.  

Applying for a Social Security Card

Eligible F-1 students should follow the instructions provided on the International Students Resources page, which details the steps to apply for a Social Security Card. 

J-1 Short-term visitors and scholars with a J-1 issued by 91porn原创 are NOT eligible to apply for a Social Security Card.

Annual tax return completion

Eligible F-1 students who have participated in work with compensation must file an annual tax return with the federal and state governments and local municipalities.  

The student is responsible for completing, submitting, and keeping a record of all tax forms.

The Center for Global Education may share tax preparer information and resources, but CGE does not assist with completing or submission of any forms.


Establishing a Work Schedule

Your supervisor will work with you to establish a weekly schedule. Students are not permitted to work during any scheduled class times. The last day that a student can work is the last day of their exams for the given semester.

Remember that your supervisor needs your academic schedule. Please be aware that although the scheduling of hours can be flexible, it is not advised to work more than 20 hours per week while school is in session.

If you鈥檙e available to work during the winter semester, you鈥檙e permitted to do so with the approval of your supervisor.

If you鈥檙e available to work during the summer semester, you鈥檙e permitted to do so as long as you haven't graduated. During the summer you鈥檙e permitted to work up to 40 hours per week with the permission of your supervisor.  

Getting Paid

Student Pay Schedule

  • Students are paid on a bi-weekly basis every other Friday
  • The student pay schedule ends one week before the pay date

Tax Information 

Money earned through the Student Employment Program is subject to state and federal taxation. Federal and state tax withholding is calculated from information provided on the student鈥檚 IRS W-4 and Certificate of Residency form. Students will receive an email when their annual IRS W-2 form is available to be viewed in Oracle.

Resources for Student Employment Supervisors

The Student Employment Program allows offices and departments across 91porn原创 to employ and enhance the education of our students.

Creating New Positions

Handshake is the career services platform that 91porn原创 uses to post student employment opportunities. While all staff and faculty have student accounts via their Single Sign-On (SSO) through OKTA, they will need to create a separate employer account to post student positions. Follow the steps below to create your employer account and post a student employment job.

If you or someone in your department is interested in establishing a student employment position within your office, you鈥檒l need to determine if a budget already exists or if a budget needs to be created. Please contact deptbusinessoffice@moravian.edu with any budgetary questions.

  • Access 91porn原创's Handshake site. Use an incognito browser so you don't log in as a student.
  • Sign up as an employer by clicking the "Sign Up" button at the top-right corner of the page.
  • Create an employer account:
    • Email: Use your 91porn原创 email address to create your account.
    • Role: When prompted, choose "Employer" as your role.
    • Verify Your Email: You'll receive a verification email from Handshake. Click on the verification link to confirm your email address.
  • Complete your employer profile:
    • After verifying your email, you'll be prompted to complete your employer profile. Include your department name, office location, and phone number.
    • Select "University Department" as the employer type.
    • Provide any relevant details about your department or the type of student employment you offer under "Additional Information".
  • Wait for account approval:
    • Your employer account will be reviewed by the career success team at 91porn原创. You'll be notified once your account has been approved. If you have any questions, please email careersuccess@moravian.edu.

  • Log in to Handshake using your newly created employer credentials.
  • Access the Job Postings page by clicking on "Post a Job" on the Handshake dashboard, located on the left-hand sidebar.
  • Create a new job posting:
    • Job Title: Enter the title of the student employment position (e.g., "Student Research Assistant").
    • Job Type: Select "On-Campus Student Employment" as the job type.
    • Department: Choose the relevant department (your department) from the dropdown list.
    • Location: Provide the location of the job, including the building name and room number if applicable.
  • Provide job details:
    • Job Description: Include a detailed description of the job, responsibilities, and qualifications. Be specific about the duties students will perform.
    • Application Instructions: Specify how students should apply (e.g., by submitting a r茅sum茅, cover letter, or via a specific process).
    • Compensation: Include the hourly rate or other relevant compensation details.
    • Expected Hours: Specify the expected number of hours per week or the total duration of the position.
  • Set application deadlines:
    • Set the application start and end dates.
    • If applicable, set a deadline by which students must apply.
  • Review and submit:
    • Review all job details for accuracy.
    • Click "Submit" to post the job.
  • Wait for job approval:
    • After submission, your job will be reviewed by the 91porn原创 career success team to ensure it aligns with student employment guidelines. Once approved, the job will be posted on Handshake and students will be able to view and apply.

  • You will receive notifications via email when students apply to your job posting.
  • Log in to Handshake and go to the "Manage Jobs" section to view and manage the applications.
  • You can directly message applicants through Handshake to schedule interviews or provide additional instructions. (Optional: You can email applicants outside of Handshake.)

  • Once the job has been filled, go to the "Manage Jobs" section in Handshake and click on the "Close Job" button to remove the posting.

Posting a Position that Already Exists

If you're a supervisor and would like to hire a student for a position previously posted on Handshake,  follow these instructions on how to repost or extend the application period for the position. This must be done annually if you plan to fill this position each year.

  • After logging in, you'll be directed to your Handshake employer dashboard.
  • On the left-hand menu, click "Manage Jobs". This will take you to a list of all your current and past job postings.

  • In the "Manage Jobs" section, locate the job you want to repost. Use the search function to find it quickly by job title or by using other related keywords.
  • Click on the job title to open the details of that specific posting.

  • Repost or extend:
    • If you simply want to extend the application deadline, update the application end date.
    • If you want to make changes to the job title, description, or qualifications, update the relevant fields.
  • Select "Repost":
    • If the "Repost" option is available, click it. This will create a new job posting with the same details, but with a new start and end date.
  • Remember to update job details if necessary and adjust the application deadline to reflect the new timeline.
  • After making any necessary updates, click "Submit" or "Repost" depending on what action is required. The job will be reposted and visible to students on Handshake.

Supervisor Responsibilities

  • Ensuring all of their students are in Payroll before they begin working.
    • Note: Students cannot begin working on campus until they鈥檝e completed their Payroll paperwork and Oracle Task List.
  • Reading and understanding all communications sent by the The Laurie Riley 鈥82 Center for Career Success and the Payroll Office, and following all rules and regulations set forth by the above-named offices.
  • Posting and maintaining job postings on Handshake by the required deadline on an annual basis.
  • Hiring and supporting students who are hired to be a student employee in your office.
  • Monitoring and approving students鈥 hours.

Student Employment Job Fair

The Laurie Riley 鈥82 Center for Career Success holds a student employment job fair annually in the fall for all incoming students who want to work on campus.  All approved student employment supervisors are invited to attend the job fair to help find students to fill their available positions. Information about the job fair, including dates and location, will be sent to supervisors in mid-July.

Hiring New Student Employees

Students will review all student employment job opportunities through the Handshake platform and should apply for the position directly through Handshake. As a student employment supervisor, you鈥檒l be able to review the list of students who have applied for your position(s) and their applications through Handshake. Once you鈥檝e identified students who would be a good candidate for your position, contact each student to set up an interview and review job responsibilities with the candidates. Some departments choose to have qualified applicants go through an in-person interview process, while others might find it sufficient to have a phone or video interview to screen applicants. Supervisors can also send messages to applicants through Handshake to track the progress of their application.

After a student has been selected

  • The supervisor must notify the student, change the status of the student to 鈥淗ired鈥 in Handshake, and IMPORTANT: they must send the Oracle link to the student to informally apply in Oracle.
    • The student MUST apply in Oracle to be set up in Payroll.
    • The student CANNOT begin working until they have completed the Onboarding Steps within Oracle and have been linked to the position by the Payroll Team.
      • You will know your student is cleared to begin working once you see them listed under you in Oracle under My Team > Team Activity Center.
  • IMPORTANT: Students are not legally allowed to begin working on campus until they have completed the required Payroll steps.

If the job is now filled based on the number of students that you need, be sure to close the position in Handshake. When you鈥檙e logged into Handshake, go to the job overview page and click the title of the job that you wish to close. Then click on the three dots in the top-right corner and select 鈥淐lose Job鈥.

Re-hiring Student Employees

 If you have a current student who you plan to re-hire for the next academic year, the student does NOT need to reapply for the job in Handshake. You will receive a notification in Oracle to confirm if your student will be returning and if you select Yes, they will NOT have to go through the hiring process again.

Reminder: If all available Handshake positions will be filled with returning students, you will not need to repost the position in Handshake.

Completing the Onboarding Steps In Oracle

First-Time Student Employee (Never worked on campus)

  • Once they鈥檝e been selected in Handshake, you鈥檒l need to send your student  the Oracle Link to your student position in Oracle. The student will need to use this link to informally 鈥渁pply鈥 to this position.
  • When the new student has completed their application in Oracle, the Payroll team will review and move them into a Pending Worker status. When this happens, the student will receive instructions to complete their legally required onboarding paperwork directly in Oracle:
    • Form I-9 (+ID submission), W-4, Resident Tax Form, LST Form, and Direct Deposit
  • When the student has completed this onboarding journey they will be approved to start working. You will know your student is cleared to begin working once you see them listed under you in Oracle under My Team > Team Activity Center.

New Student Employee (Never worked for your department but has worked on campus before)

  • Once they鈥檝e been selected in Handshake, you鈥檒l need to send the Oracle Link to your student position in Oracle. The student will need to use this link to informally 鈥渁pply鈥 to this position.
  • When the new student has completed their application in Oracle, the Payroll team will review the application and then move them directly into your position in Oracle to begin clocking in/out under you.
  • You鈥檒l know your student is cleared to begin working for your department once you see them listed under you in Oracle under My Team > Team Activity Center.

Review your office rules and code of conduct, as well as your expectations with your student employee(s)

Office hours, procedures for calling out, dress code, use of space, and personal conduct are all important issues that should be addressed with your student(s) within their first week of work.

Establish a work schedule with your student employee(s)

All student employee hours, regardless if they are work-study students or not, will directly hit your student-wages budget so please plan your student鈥檚 hours accordingly to not exceed your budget.

Work with the student to establish a schedule that works for both the student and your office needs. Students are not permitted to work during any scheduled class times. The last day that a student can work is the last day of their exams for the given semester.

Please be aware that although the scheduling of hours can be flexible, it鈥檚 not advised to work more than 20 hours per week while school is in session. If your student worker is a Non Resident Alien and here on an F-1 Visa, they cannot legally work more than 20 hours per week during the academic year (and no more than 40 hours during the summer).

Students are permitted to work during the Winter Break with your approval. During this time they can work up to 40 hours a week (while class is not in session).

Students are permitted to work during the Summer Break with your approval as long as they have not already graduated. During the summer, they鈥檙e permitted to work up to 40 hours per week with the permission of their supervisor.  

Students are not permitted to work remotely during the summer and winter break.

Student time keeping

Students will clock in and out for your position through Oracle. You鈥檒l be able to see student time cards under My Team > Team Time Cards. Time cards will need to be approved every other Monday. You can find the approval due dates on the Student Pay Schedule.

Many students work in multiple departments. Your approval will only approve hours they have worked for you, however, you鈥檒l be able to see their hours for other departments. If you make any edits to a student鈥檚 timesheet, please be sure that you鈥檙e only editing the line for your position.

Instructions for how to edit and approve timesheets can be found on the in Amos (Amos > Administrative Services > Business Office > Payroll).

Addressing student well-being

As a student employment supervisor, you鈥檒l be working closely with students. We encourage all supervisors to review the resources for faculty and staff to assist a student in distress should they need additional assistance. If a student appears to be struggling with their classwork, you can refer them to Academic Support.

If you observe a student who is displaying signs of mental health concerns, you can refer them to Counseling and Psychological Services (CAPS). If the student鈥檚 behaviors or situation appears to be particularly concerning, you should complete a SHARE Report or contact Campus Police if there鈥檚 an immediate issue.

Addressing performance issues

 Students can be terminated if they鈥檙e not performing to your expectations. In the event that performance issues arise with the student, the supervisor should discuss any work-related concerns with the student as soon as possible. Inform the student of your dissatisfaction with their performance, refer to the job description and expectations and clearly define the areas that need to be addressed. Offer the student suggestions on how they may improve performances and establish a fair and equitable time period for correcting the problem. If applicable, notify students that their job may be in jeopardy. Be sure to document any performance-based conversations that you have with the student. For assistance with these performance based concerns, please contact the Human Resources Office.

Terminating a student employee

If you have exhausted all options for assisting the student, email payroll@moravian.edu to terminate the student from their position. Be sure to notify the student via email that their position has been terminated, referring to your attempts to help the student be successful.

Removing a student from a position

If, for any reason, a student is no longer going to work for your department, email payroll@moravian.edu.
